Employee Foundation of the VKR Group – policy for the processing of personal data

Employee Foundation of the VKR Group (hereinafter the Employee Foundation) at Breeltevej 18, 2970 Hørsholm, Denmark, CVR. No. 15983388 is responsible for collecting, storing and processing personal data of applicants and recipients of donations.

The purpose of personal data processing

The Employee Foundation respects and protects your privacy. We use your information for the purpose of processing applications and handing out donations. We only collect information, which we receive directly from you or from the local recommendation committee. The personal data you make
available to the Employee Foundation will be stored on the Employee Foundation’s electronical system
on a server in the European Union and will be processed in compliance with the EU General Data Protection Regulation.

Who has access to your personal data?

Only trusted employees with the Employee Foundation have access to your personal data. These employees are the secretaries to the Employee Foundation and the board members of the Employee Foundation. Moreover, the local recommendation committee for each business unit will have access to
applications from employees in the business unit in question, which the local recommendation committee represents.

The personal data submitted by you or collected by the Employee Foundation will not be shared with
any third parties. In some cases, the Employee Foundation wishes to run a case story about a donation, but in such cases specific consent will be obtained from the recipient of the donation.

Deletion or rectification of your personal data

You are, at any time, entitled to see a description of your data stored by the Employee Foundation and to request the personal data rectified or deleted. Please contact the foundation secretariat at employee@vkr-holding.com for such a request. Please write “Inquiry of Log of personal data” in the subject line.

The members of the recommendation committee will delete the applications 5 years after they have forwarded the application to the secretariat.

If your application is not met, the secretariat will delete/anonymize your personal data 12 months after the rejection letter is sent. If your application is met and you receive a donation, your personal data will be deleted or anonymised 5 years hereafter.

Finally, you also have the option to file a complaint to the Danish Data Protection Agency if you find that we do not comply with the Danish Data Protection Law.
